Job description: Administration Officer

EcoSikh is a 501c (3)* nonprofit organization currently seeking to fill the position of a full-time Administration Officer based in the Ludhiana area. The incumbent will be a motivated self-starter who has a deep understanding about everyday office clerical operations, formal communication, very well versed with computers (especially Microsoft Office Suite) and Social Media. Is able to generate purposeful communication and portray EcoSikh as a credible, action orientated organization with the goal of transforming the approach, attitude and conduct of Sikhs in their day to day life as it relates to the environment.

Full Time: 42 hours 6 days

Monthly salary will be negotiable as per competitive skill set and will be determined based on capability of taking number of responsibilities and experience.

Key responsibilities include:

o Handle day to day housekeeping operations of the office.
o Handle office calls and keep record of the queries.
o Making promotional calls for invitation and follow ups for EcoSikh events.
o Building and managing organization’s database from events.
o Initiate communication with the approaching volunteers and office visitors.
o Management and record-keeping of office stock that includes promotional materials, office equipment, stationery etc.
o Record-keeping of daily activities as well as campaigns.
o Maintaining record of office expenses and donations i.e. handling bank account.
o Coordination with the EcoSikh chartered accountant (CA) for maintaining and assisting in managing expense and donation accounts.o Conducting office/staff meetings.
o Plan and schedule meetings of guests with office staff.
o Colleting data and creating daily/weekly/monthly office reports
o Dexterity to create press releases and communicate with media (Radio, TV Channels and Press)
o Coordination with the media manager to establish archives.
o Support and assist in management of social media channels and EcoSikh website on regular basis.
o Creating stories/articles/ write ups/ posts EcoSikh website and social sites.
o Working in line with the project manager in India and EcoSikh President.
o Work with colleagues to coordinate and create compelling monthly/bi-monthly Newsletters, Annual Reports and other organizational collateral.
o Helping time to time in local events as a team and sharing responsibilities.
o Ability to manage multiple tasks, work within tight deadlines, and maintain high level of productivity.
o Ability to work both independently and as a key member of a motivated, self driven and high energy team
o Openness to work occasional evenings and weekends to meet events and project deadlines.

Requirements:

• Bachelors or higher degree in journalism/accounts is preferred but any graduate with the desired skills could be considered.
• 1 year of working experience preferred in related fields
• Proficiency in the use of Gmail, YouTube, FaceBook, Twitter, WhatsApp and WordPress
• Preferred resident of Ludhiana and happy to operate from office or home (if needed)
• Proficiency in English and Punjabi required with good typing skills
• Must have own computer system, and conveyance for movement in the city, open to travel within Punjab and abroad when needed
• Fluency in MS word, good proficiency in MS Excel and PowerPoint
• Good at accounts, cash handling and record keeping.
• Knowledge of work style in a non-profit
• Two references from pervious workplace or institution

The Administration Officer will work directly under Ravneet Singh (EcoSikh Project Manager) and Dr. Rajwant Singh (EcoSikh President) for diaspora initiatives.
